Thank you for your interest in holding an event in Beckenham Place Park.

Here you can apply to hold an outdoor event in Beckenham Place Park (BPP), submit all documentation and track your application as it progresses. 
 
Events in BPP
BPP is a large, award-winning park. We want Lewisham parks to be vibrant and diverse places, providing entertainment and activities for all our communities. Before making an application to hold an event in BPP, please read the information on this page.
 
Type of events 
This platform is for the submission of application for outdoor events and space hire. 
  • Commercial events are events run by businesses and other enterprises, for profit or in the pursue of profit (e.g., sampling, brand activation). It includes festivals, cultural events, markets, large sporting events and fundraising events run by or in aid of for national charities 
  • Community events are events that aim to benefit the community firstly and foremost and do not aim to make a profit. It includes, events organised by local community groups, friends groups and charities. 
  • Private Events
  • Corporate Events
  • Leaseholder Events
  • Outdoor Fitness

Type of hire not included:

Application fee
As part of the application process, we pay specific attention to health and safety and insurance. There will be a non-refundable administration fee payable to process your application. These start from £10 for community events and from £100 for commercial enterprises. The fee must be paid for the application to be submitted and reviewed.

Before applying 
Before submitting your application please ensure that 
  • you’ve read the information  on this page
  • checked whether your requested event location is available on the dates and at the time you would like
  • whether your event proposals are feasible for the venue proposed
Along with the application, we will require, as a minimum, a risk assessment, site plan and event plan to review your application. You will be required to have Public Liability Insurance for your event (minimum £5 million applies to all events)

There are templates for some of these on the right side of this page and they can be uploaded through the supporting documents pages of the application. 

Please ensure you click on the Submit button at the end of the Declaration page or your application will remain in 'draft' status. We only deal with submitted applications.
 
There are fees associated with your event - costs are provided on application. You can estimate costs by looking at the ‘Outdoor space hire fees’ document on the right. 

By applying there is no guarantee that the application will be successful. We strongly recommend reading all the information on this page before applying.

Availability 
If you have a set date for an event you can email BPP on beckenhamplacepark@lewisham.gov.uk to enquire about availability. Please include the following information: brief description of the event, capacity, location, and date. The date will not be confirmed and booked until an application has been received and the event has been approved. 

How to apply

Event App enables you to save information before submitting. Be sure to include all the relevant information before submitting your application.

Considerations 
As guardians of the parkland, we must be sure that all event organisers will be able to run their proposed event in a safe and professional manner. You will find guidance notes on the left to guide you when completing the document.  
 

What’s next 
Once you’ve clicked on Submit, you will receive a confirmation email summarising your event, including a checklist of items that we need more details about in your Event Plan. If you don't receive this email check, you have clicked on Submit and check it hasn't gone into your spam / junk folder.
 
Once the application has been submitted it will appear in your homepage with a ‘New’ status. Once the status has changed from ‘New’ it means someone in the Events Team is looking at it and you will need to request access to make changes, but this is very easy to do.
 
Additional information required 
You may be required to provide more information depending on which activities you choose to have at your event, and there are some deadlines for submission. For example, food information must be submitted no later than 2 weeks before the event date. 
 

In some cases, you may need to apply for a separate licence from a different team. For example, to have music you may need to apply for Temporary Events Notice from the Licensing Team and for commercial inflatables (e.g. a funfair) you may need a Temporary Structure Licence. 
 
You can upload further supporting documentation at any time (subject to deadlines). 

Privacy Notice
The Council will use the information you provide for the purpose of ensuring that the event applied for can be processed. We will share the information with other Council departments/external bodies as part of the event approval process. This will include the Council’s Public Protection Division and Health & Safety Team. The Police, Fire Service and London Ambulance Service may also be contacted depending on the nature of the event.
